Free Software Planning Tools

Cost calculators, templates and checklists for planning a software, SaaS, mobile or AI project before you talk to any vendor. They are free, need no sign-up and run in your browser, and every calculator shows its formula.

Budgets go wrong for two reasons: the scope was never written down, or the numbers came from a black box. These tools deal with both. The calculators give you indicative low–high ranges based on published assumptions you can check and disagree with. The templates help you turn a rough idea into requirements that any development team can quote accurately. Nothing you type is sent to a server or stored.

How to use these tools together

  1. Write the scope first. Start with the MVP requirements template or the AI agent requirements template.
  2. Size the budget. Run the matching calculator and note the low–high range, not just the midpoint.
  3. Check running costs. For AI products, model tokens and retrieval with the LLM & RAG calculator.
  4. Go to market. Send the RFP template to shortlisted vendors, then use a checklist to review the architecture or launch plan.

For the engineering behind the numbers, read our engineering articles on RAG, multi-tenant SaaS and mobile architecture. For AI-specific planning guides covering architecture, security, testing and ROI, visit the AI agent resources hub.
